ISPA Executive Board Member Position Descriptions

Members of the ISPA Executive Committee are elected in the spring proceeding their year of service. Terms are for one year, beginning on July 1st and ending June 30th except where noted.

President:
Oversees all operational and administrative activities of the association. Calls and chairs meetings of the Executive Committee and responsible for coordinating communications among the officers. The President also appoints members to committees with the confirmation of the Executive Committee and assumes the responsibilities of the Past President during the year immediately following his/her term of office.

President-Elect:
Serves to assist the President in all areas assigned with specific responsibilities for the recruitment of new members to the association. This position will assume the post of President immediately after serving one term as the President-Elect.

Past President:
Supports, advises and assist in the President’s activities including the Annual Dean’s meeting and annual elections. The Past-President serves as an ex-officio member of the Executive Committee.

Secretary:
Takes and distribute minutes at all Executive Committee meetings and general business meetings.

Treasurer:

Manages
all monies, collection of membership and conference fees, payment of all bills, and keeps accurate records for the association.

Treasurer-Elect/Registration Coordinator:
Serves to assist the Treasurer in the management of monies, bills, and records for the association. This position also serves as Registration Coordinator for the Annual Fall Conference. The Treasurer-Elect serves as an ex-officio member of the Executive Committee. 

Information Coordinator/Website Manager:

Publishes and distributes membership directory annually, maintains the organizational database, and publishes and distributes the ISPA Newsletter on a regular basis. Maintains and keeps current the organization's website, posts position listings and other information of service to members on the website, and notifies members when changes or updates have been made to the website.

Conference Coordinator:
Responsible for the coordination, planning, and execution of the ISPA conference. The Conference Coordinator is assisted by the Conference Coordinator-Elect and a volunteer committee of ISPA members.

Conference Coordinator-Elect:
Serves as assistant to the Conference Coordinator for one year and will immediately assume the position of Conference Coordinator after one year. The Conference Coordinator-Elect serves as an ex-officio member of the Executive Committee.

Past Conference Coordinator
:
Serves on the ISPA conference planning committee as the chair of a subcommittee after serving as Conference Coordinator. Acts as a resource for Conference Coordinator, providing consistency and continued improvement from year before.

Professional Development Chair – 2 years:

Plans and coordinates professional development activities of the association such as the Graduate Student Case Study Competition and ISPA Job Search Summit. The Professional Development Chair works collaboratively with the Graduate Student Representatives in the marketing of these programs.

Graduate Student Representative(s):
Act as liaisons between the board and graduate students in student personnel and higher education programs. Manages communication among and between graduate students and advises board on issues important to graduate students. Members will be selected by each of the graduate programs (Iowa State University, University of Iowa, University of Northern Iowa, and Drake University) to serve a one-year term. The Graduate Student Reps will work in conjunction with the Professional Development Chair to organize activities such as the Job Summit, and other activities to enhance the graduate student experience in student affairs.

Nomination/Election Information
Officers are nominated and elected by mail or email after spring term of the academic year. Candidates are asked to submit a short biography to accompany the ballot.
Officers begin their terms on July 1.
Note term lengths:
·          President-Elect is a three-year commitment (President-Elect, President, and Past-President). 
·          Conference Coordinator is a two-year commitment (Conference Coordinator-Elect agrees to serve as Conference Coordinator the year following his/her term).
·          Treasurer-Elect is a two-year commitment (Treasurer-Elect agrees to serve as Treasurer the year following his/her term).
·          Professional Development Chair serves a two-year term.
